Registration Terms and Conditions

Please read these Terms and Conditions carefully before completing your registration. By submitting your registration, you confirm that you have read and agree to these Terms and Conditions.
1. Conference registration
Registration is required to attend the Breast Cancer Conference 2027. Registration is personal to the registered delegate and should not be transferred to another person.
Your registration will be confirmed once your registration has been successfully completed and, where applicable, payment has been received.
The organisers reserve the right to refuse or cancel a registration where necessary, including where the conference has reached capacity or where a registration does not meet the requirements for a particular registration category.
2. Registration fees and payment
Where a registration fee applies, the fee will be clearly stated during the registration process.
Any applicable payment deadlines will be communicated during registration.
Unless otherwise stated, registration fees do not include travel, accommodation or other personal expenses.
3. Cancellation and refunds
The cancellation and refund arrangements applicable to your registration will be stated during the registration process.
If you are unable to attend, please notify the conference organisers as soon as possible.
The organisers reserve the right to determine whether a refund or transfer can be offered, taking into account the circumstances and any costs already incurred in relation to the conference.
4. Changes to the conference
The University of Edinburgh reserves the right to make reasonable changes to the conference programme, speakers, timings, venue arrangements or other aspects of the event where necessary.
Every reasonable effort will be made to ensure that significant changes are communicated to registered delegates.
If the conference is cancelled or postponed by the organisers, registered delegates will be informed as soon as reasonably practicable and appropriate arrangements regarding registration fees will be communicated.
The organisers cannot accept responsibility for travel, accommodation or other costs incurred by delegates as a result of changes to or cancellation of the conference.
5. Venue and delegate conduct
The conference will take place at the Edinburgh International Conference Centre (EICC), 150 Morrison Street, Edinburgh, EH3 8EE.
Delegates must comply with reasonable instructions from the conference organisers and EICC staff and must comply with the venue's health, safety and security requirements.
The organisers reserve the right to refuse admission to, or ask a delegate to leave, the conference where their behaviour is considered disruptive, threatening, discriminatory, abusive or otherwise inappropriate, or where they breach these Terms and Conditions or venue requirements.
6. Accessibility and additional requirements
The organisers are committed to making the conference accessible and inclusive.
Delegates should provide information about any accessibility requirements, dietary requirements or other reasonable adjustments during registration wherever possible, so that appropriate arrangements can be considered.
Information provided for the purpose of arranging accessibility or other adjustments will be handled in accordance with applicable data protection requirements.
7. Photography, filming and recording
Photography and/or filming may take place during the conference.
Photographs and video footage may be used by the conference organisers for future marketing and promotional purposes, including publication on the conference website and related websites, social media channels and other promotional materials.
Any recording of presentations or sessions will be subject to the permissions and arrangements communicated by the organisers and speakers.
8. Conference materials and intellectual property
Conference presentations, slides, abstracts, recordings and other materials remain the property of their respective authors or rights holders unless otherwise stated.
Delegates must not reproduce, distribute, commercially exploit or publish conference materials without the appropriate permission.
Delegates must also respect any restrictions communicated by speakers regarding photography, recording or distribution of presentation materials.
9. Personal data and data protection
The University of Edinburgh will process personal information provided during conference registration in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation and the Data Protection Act 2018.
The information provided during registration will be used to administer your attendance at the conference, including processing your registration, communicating essential information about the conference, managing access and attendance, providing appropriate arrangements at the venue and obtaining feedback about the event.
The University will only use and retain personal data in accordance with its applicable privacy information and data protection policies.

10. Sharing information with conference sponsors
The organisers may work with sponsors and other organisations in connection with the conference.
Your personal information will not be shared with conference sponsors for marketing purposes unless an appropriate lawful basis exists and, where consent is required, you have provided consent through the registration process.
Where you have consented to your information being shared with sponsors, your name and email address may be provided to the relevant sponsors so that they can contact you about their products, services or activities.
Information about the organisations with whom personal data may be shared, the purposes of sharing and the applicable lawful basis will be provided in the conference Privacy Notice and/or registration form.
You may withdraw consent to sponsor communications at any time where consent is the lawful basis for processing.
11. Future communications
The conference organisers may provide information about future conferences, events or related activities.
Where consent is required for such communications, this will be requested separately during the registration process. Choosing not to receive future communications will not affect your ability to attend the conference.
12. Delegate information and networking
Where a delegate list or networking facility is provided, delegates will be informed separately about what information will be visible to other delegates and how it will be used.
No delegate contact information will be made publicly available without an appropriate lawful basis and, where applicable, consent.
13. Liability
The organisers will take reasonable steps to ensure that the conference is delivered safely and appropriately. However, the University of Edinburgh is not responsible for loss, theft or damage to delegates' personal belongings, except where liability cannot lawfully be excluded.
Delegates are responsible for making their own arrangements for travel, accommodation and personal insurance.
Nothing in these Terms and Conditions excludes or limits liability where doing so would be unlawful.
14. Health and safety
Delegates must comply with all health and safety instructions issued by the University of Edinburgh, the EICC and conference staff.
Delegates should notify the organisers of any relevant accessibility, dietary, medical or other requirements that they wish the organisers to take into account in providing appropriate support.
15. Compliance with University and venue policies
Delegates are expected to comply with applicable University of Edinburgh policies and EICC venue requirements while attending the conference.
The organisers reserve the right to take appropriate action where a delegate's conduct presents a risk to the safety, wellbeing or experience of other delegates, speakers, staff or members of the public.
16. Applicable law
These Terms and Conditions are governed by Scots law. Any dispute arising in connection with these Terms and Conditions will be subject to the jurisdiction of the Scottish courts.
